Microsoft 365 Business Premium vs Business Standard: What Perth Businesses Actually Need

This comes up in almost every Microsoft 365 conversation we have in Perth, usually phrased as "why am I paying more for Premium when the apps look identical?" The apps are identical. You are not paying for Word. You are paying for control over who can sign in, from where, on what device — and for something that notices when a laptop starts behaving badly.

What each plan actually includes

Both plans are capped at 300 users, and both include the full desktop, web and mobile Microsoft 365 apps, business email on your own domain, 1 TB of OneDrive per user, SharePoint and Teams. The difference sits entirely in the security and management column.

Microsoft changes its Australian licence pricing periodically, so we deliberately do not publish per-seat figures that go stale — check Microsoft's current AU pricing for the number on the day. What has stayed constant for years is the shape of the gap: the step up to Premium costs roughly the price of a coffee per user per week, and it is the cheapest security you will ever buy.

The five things you only get with Premium

1. Conditional Access, not just MFA

Every plan can turn multi-factor authentication on. Only Premium lets you write rules about it — require MFA from outside Australia but not in the office, block sign-ins from unmanaged devices, force a re-prompt when the risk score jumps. Basic MFA is a light switch. Conditional Access is a dimmer with a motion sensor, and it is the single biggest reduction in account-takeover risk available to a small business.

2. Intune — actually managing the devices

Intune is what lets you push a security baseline to every laptop, confirm that Windows updates are genuinely installing, require a PIN on phones holding company email, and wipe company data off a device when someone leaves or loses it. Without it, "our devices are patched" is a hope, not a statement. This is also the honest answer to bring-your-own-device: you can secure staff-owned phones without touching their personal photos.

3. Defender for Business

Traditional antivirus matches known bad files. Defender for Business watches behaviour — a process encrypting files quickly, credential dumping, a script reaching somewhere it shouldn't — and can isolate the machine before it spreads. 4. Safe Links and Safe Attachments

Defender for Office 365 rewrites links in inbound email and re-checks them at click time, and detonates attachments in a sandbox before delivery. Attackers routinely send a clean link and weaponise the destination hours later — this is the control that catches that.

5. Sensitivity labels

Where Premium fits with the Essential Eight

If a larger client or a government tender has started asking about the Essential Eight, Business Premium covers part of the ground and none of it automatically. It gives you the tooling for multi-factor authentication, patching applications and operating systems, restricting administrative privileges, and user application hardening. It does not hand you application control, Office macro restrictions, or tested backups — those still have to be designed, configured and checked.

We say this plainly because the licence-equals-compliance assumption is the most expensive misunderstanding in this space. Buying Premium and leaving it at defaults gets you a bill and very little protection. Our IT compliance page walks through what actually has to be evidenced.

When Business Standard is genuinely the right answer

• Under about five people, all on company-owned machines you physically control.
• No client data of consequence — no health records, financial files, or personal information beyond your own.
• No insurer, contract or tender asking security questions.
• No staff working from personal devices.

If all four are true, Standard plus basic MFA is a defensible position and we will tell you so. The moment one changes — usually the first employee using their own laptop, or the first client contract with a security schedule attached — the calculation flips.

How to decide in ten minutes

Ask three questions. If a staff member's password were phished tonight, what could the attacker reach? If a laptop were left in a taxi, could you wipe it? If your biggest client asked tomorrow how you protect their data, could you answer in writing? Two "no"s means Premium.
