Microsoft 365 Automation

Power Automate for Perth Businesses

Flows that run inside your Microsoft 365 tenant - lead alerts, approvals, follow-up reminders and document filing - built on the licence most Business plans already include, and supported by a Perth engineer you can call.

What the free automation audit is: a 45-minute call, at no cost and with no obligation. We map how your team actually spends its week and where the repetitive hours go. You leave with a written shortlist of the three workflows worth automating first, ranked by hours saved per month, and an honest answer on whether Power Automate will pay for itself in your business - including when it will not. Work after the audit is either billed at $180/hr ex GST, one-hour minimum then 30-minute increments, or scoped as a fixed-price project. Either way you get the number in writing before anything starts.

Two flows we run on our own inbox.

Both live in Support Perth's Microsoft 365 tenant. They read mail and create tasks. Nothing is moved, deleted or sent by a machine - a person does the rest.

Website enquiry
  1. New email in InboxFrom the website form
  2. Create task: Call backOn the phone within seconds

An enquiry becomes a task on our phone before anyone has opened Outlook.

Unanswered client email
  1. Every morningScheduled run
  2. Client email, no reply in 24 h?Checks the sent folder
  3. Create task: Chase replyRaised before the client has to

Nothing a client sends sits unanswered for more than a day.

Runs on the Power Automate licence included with most Microsoft 365 Business plans No new softwareNo server to maintainData stays in your tenant

Premium connectors (SQL, HTTP calls to other systems, Dataverse) are flagged before you need the licence. If n8n or Zapier is the cheaper fit for a job, we say so.

What We Build

Working flows, not proofs of concept. These are the ones Perth businesses on Microsoft 365 ask for most.

Lead & Enquiry Alerts

A website form, a shared mailbox or a Teams channel triggers a task, a Teams post or a text to the right person the moment an enquiry arrives. Nothing sits unseen overnight.

OutlookTo DoTeams

Approvals

Leave, purchase orders, quotes and expense claims routed through Teams or Outlook with one-click approve and a record of who signed off and when.

ApprovalsTeamsOutlook

Follow-Up Reminders

Client emails unanswered after 24 hours, overdue invoices, expiring contracts and stale tickets surface as tasks in To Do or Planner before they become problems.

OutlookTo DoPlanner

Document & Form Flows

Microsoft Forms responses, scanned PDFs and email attachments filed into SharePoint with the right name, metadata and folder, and a notification to whoever needs to act.

FormsSharePointOutlook

Onboarding & Offboarding Checklists

A new-starter form kicks off the checklist - tasks assigned, equipment requested, the welcome email drafted - and a departure runs the same list in reverse so nothing is missed.

FormsPlannerOutlook

Reporting & Scheduled Jobs

Daily digests, weekly reports and month-end checklists assembled from SharePoint lists, Excel and Planner and delivered to Outlook or Teams on schedule.

SharePointExcelTeams

Where It Pays Off First

Admin-Heavy Offices

Accounting, legal, strata and real estate teams living in email and documents. Approval routing and automatic filing typically recover hours per person, per week.

Trades & Field Services

Job sheets from Microsoft Forms straight into SharePoint, invoice reminders that chase themselves, and photos and paperwork filed against the right job without touching a keyboard.

Businesses With a Shared Inbox

sales@, accounts@ and support@ mailboxes triaged into tasks with an owner and a due date, so nothing is answered twice or not at all.

Anyone Already Paying for Microsoft 365

If your team lives in Outlook, Teams and SharePoint, Power Automate is the lowest-risk place to start: the licence is usually already paid for.

Power Automate FAQs

Do we need to buy anything to use Power Automate?
Usually not. Power Automate with standard connectors is included with Microsoft 365 Business Basic, Standard and Premium. Premium connectors - SQL, HTTP, Dataverse and most third-party enterprise systems - need a per-user Premium licence. We check which connectors your flows need before we quote, so there are no licence surprises.
Power Automate, n8n or Zapier - which should we use?
If your business already runs on Microsoft 365 and the flow stays inside it, Power Automate: no extra subscription, no server, and your data stays in your tenant. If the flow needs AI steps, many third-party apps or heavy logic, n8n or Zapier can be cheaper and easier to maintain. We build on all three and recommend by fit, not preference.
Is it safe to let flows touch our email and files?
Flows run as a named user inside your tenant, under the same security policies as that person, and every run is logged. We build read-and-notify flows first - nothing moved, deleted or sent without a person in the loop - and add write actions only once a flow has proven itself.
What does a Power Automate project cost?
Most first flows are small. The audit call is free, the pilot is a fixed quote, and you see it running on your own mail and files before committing to more. Ongoing support is covered under managed IT, or billed at $180/hr ex GST as needed.
Will you support it when something changes?
Yes. Microsoft retires connectors and changes forms, and a flow that fails silently is worse than no flow. Every build is handed over with an owner, failure alerts and documentation, and we are a Perth IT support company first - supporting what we build is the core of the business.
